Intro
These Terms & Conditions govern bookings, participation and the provision of services by Azores Roots & Routes. By booking an experience, trail or tour, guests agree to these terms.
Bookings and availability
Bookings are made by direct contact and are always subject to availability. A booking is only considered confirmed after written confirmation from Azores Roots & Routes.
Azores Roots & Routes reserves the right to request a deposit or prepayment for certain bookings, including private activities, custom programmes, larger groups or high-demand dates. When applicable, this will be communicated clearly at the time of booking.
For certain trails, especially private, custom or more demanding routes, Azores Roots & Routes may require participants to complete a short pre-activity questionnaire before final confirmation, in order to assess suitability, experience and general safetty conditions.
Prices and payment
Prices are those communicated at the time of booking, unless otherwise stated.
Payment is generally made on the day of the activity, unless a different arrangement has been agreed in advance. Accepted payment methods will be confirmed during the booking process.
When a deposit or prepayment is required, the booking will only be secured after receipt of the agreed amount.
Cancellations by guests
If a guest needs to cancel a booking, this should be communicated as soon as possible by email or WhatsApp.
Cancellation conditions may vary depending on the activity booked and whether a deposit or prepayment was required. When applicable, the cancellation terms will be communicated at the time of booking.
Failure to attend the activity without prior notice may be treated as a no-show and may not be eligible for any refund.
Changes or cancellations by Azores Roots & Routes
Azores Roots & Routes reserves the right to change, adapt or cancel an activity when necessary due to weather conditions, safety concerns, access restrictions, force majeure, or other circumstances beyond its reasonable control.
Where possible, a suitable alternative date, route or programme will be offered. If the activity cannot take place and no alternative is accepted, any amount paid in advance for the cancelled service will be refunded.
Weather and safety
Outdoor activities in São Miguel are subject to changing weather and environmental conditions. For this reason, routes, timings, meeting points or programme details may need to be adjusted.
The final decision to proceed, adapt or cancel an activity for safety reasons rests with Azores Roots & Routes.
Participant responsibilities
Guests are responsible for ensuring that the activity booked is suitable for their physical condition, experience and personal circumstances.
Participants must follow the guide’s instructions at all times and should communicate in advance any relevant health issue, allergy, mobility limitation or other condition that may affect their participation.
Guests are also responsible for bringing suitable clothing, footwear and any personal items recommended for the activity.
Azores Roots & Routes reserves the right to refuse or interrupt participation if a guest’s behaviour compromises safety, respect for others, or the proper running of the activity.
Personal belongings
Each participant is responsible for their own personal belongings during the activity. Azores Roots & Routes cannot be held responsible for loss, theft or damage to personal items.
Liability
Azores Roots & Routes will provide its services with reasonable care, professionalism and attention to safety.
However, participation in outdoor activities involves a degree of personal responsibility and exposure to natural conditions. Azores Roots & Routes shall not be held responsible for situations resulting from circumstances beyond its control, nor for consequences arising from inaccurate or incomplete information provided by participants.
Nothing in these Terms & Conditions limits any rights that cannot be excluded under applicable law.
